File Formats: How to Choose the Right One

During the course of a day I send and receive an average of 32.4 files. I know because I decided to count them for ten days. On one day, I sent a compressed batch of files to a printer in New York and a PDF to a printer in Seattle, 3 files to each of 4 magazines publishing a client’s ad (and since there are no magazine standards in this country, each needed the files in different sizes and different formats). I downloaded a font from House Industries, a photo from Getty Images and a little movie of my little niece from Washington, D.C. I sent an EPS file to a sign maker who was cutting a client’s logo out of galvanized steel and received a photo of a conference exhibit area in JPG format from a client who wanted an 8-foot banner for their exhibit. The list goes on. It baffles me how the business world functioned before the digital age almost as much as it baffles me how the whole world functioned before post-it notes.

This file frenzy can be frustrating to the uninitiated. What format? What resolution? What size? Who cares?! And why is everyone asking me? In response to that frustration, I created a chart that defines and categorizes the most common terms and file formats that communications professionals come across throughout the course of their digital day.
